Position Overview: We are seeking a highly organized and detail-oriented Administrative Assistant to join our project delivery team. The ideal candidate will be responsible for providing administrative support to PGO leadership in a fast-paced, dynamic environment. You will support vice presidents, project directors, and project managers through a variety of tasks related to reporting, organization, and communication.
Key Responsibilities:
- Support mid-size leadership team and large organization.
- Weekly and ad hoc reporting tasks, including SAP and Excel; reminders and follow up as needed.
- Vice President team tasks, including organization of materials and reporting.
- Consolidate weekly variance slides from PMO decks into a single deck for DVP review.
- Update Project Budget spreadsheet with new SOW, new CR, and with project closures.
- Meeting notes.
- Miscellaneous tasks as needed.
- Organization chart maintenance. Audit against company organizational charts for accuracy.
- PGO certification tracking and reminders.
- Audit Consultant Heat Map to ensure all in-flight projects are included. Follow up on additions and closures.
- Review weekly opportunity report and ensure Client Status File is updated. Follow up on missing or inaccurate data.
- Facilitate logistics of Project Team Health Checks: Team sessions and DVP feedback session
- General
- Perform general administrative duties including data entry, tracking, and reporting.
- Schedule and coordinate meetings.
- Assist in the preparation and reminders of regularly scheduled reports.
- Provide support in the preparation of presentations and other materials.
- Contribute to team efforts by accomplishing related results as needed.
Qualifications:
- Minimum three (3) years’ relevant experience.
- High school diploma or equivalent; college degree preferred.
- Proven administrative or assistant experience supporting a leadership team.
- Proficiency in MS Office (MS Excel, in particular). Experience with SAP reporting is a plus.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Strong organizational, interpersonal, and planning skills.
- Demonstrated ability to work effectively in a team environment and foster teamwork.
