About the Team:
You’ll join a dynamic and collaborative team focused on sourcing top-tier contractor talent for SAP-related projects.
You will work closely with the team to identify, hire, and onboard highly qualified SAP professionals who support strategic business initiatives.
Position Summary:
We are seeking a detail-oriented and proactive Contractor Onboarding Coordinator to support our recruiters and contract managers. This pivotal role ensures a smooth, compliant, and timely onboarding experience for external SAP consultants joining our projects.
You will act as a key liaison between selected contractors, internal stakeholders, and our contract management and onboarding teams. Your responsibilities will span across collecting contractor information, creating and managing system profiles, and coordinating critical onboarding steps with multiple departments.
Key Responsibilities:
- Create and maintain all recruitment requests received in the ATS tool
- Coordinate with selected contractors to collect required personal information for onboarding
- Ensure documentation compliance for all onboardings
- Create and maintain candidate profiles in ATS systems accurately and promptly.
- Collaborate with Contract Managers to support the preparation and validation of contracts.
- Share onboarding details to relevant internal stakeholders to enssure a smooth onboarding and great candidate experience (e.g. IT, security, finance, resourcing)
- Track onboarding progress and follow up on pending items with contractors and internal teams
- Manage the contracts’ extensions and off-boarding processes
- Act as the primary point of contact to support candidates throughout their journey with Syntax;
- Participate in quarterly follow up with contractors about Syntax IT & Security compliance requirements.
- Identify roadblocks, and improvement opportunities to ensure process efficiency and effectiveness
- Maintain thorough and up-to-date documentation of onboarding activities.
- Work closely with the Operations Lead on ensure daily operations are supported, as as on special projects from time to time
Qualifications:
Required:
- 2+ years of experience in an administrative, HR coordination, staffing, or onboarding role (ideally in a project-based or consulting environment)
- Strong organizational skills and attention to detail
- Excellent communication and follow-up skills (email and verbal)
- Proficiency with MS Office and collaboration tools (e.g., Outlook, Excel, Teams, SharePoint)
- Ability to multitask and prioritize in a fast-paced environment
- Team player, self confidence and proactive attitude
- English required, French although not mandatory but ideal
Preferred:
- Experience working with contractor management, recruitment, or SAP project teams
- Familiarity with contracts and onboarding documentation
