Role: Bid Management Support Specialist
Overview:
Responsible for managing and maintaining high-quality, up-to-date proposal content assets, including Customer Success Stories, Staff Resumes, and Biographies. This role ensures that all materials are compelling, accurate, and aligned with brand and business objectives for use in RFP responses and client engagement. The position requires close collaboration with Sales, Marketing, Bid Management, and Delivery teams to ensure content is effectively leveraged to support business growth.
Key Responsibilities
Customer Success Story Management
- Identify, qualify, and prioritize customer success stories for creation, update, review, or retirement.
- Conduct interviews with project managers, and internal stakeholders to capture impactful narratives.
- Develop engaging content assets, including case studies, success stories, and reference slide decks, ensuring alignment with brand tone and measurable outcomes.
- Maintain a central library of approved customer stories for use in RFPs, RFIs, RFQs. etc.
- Collaborate with Customer Success and Delivery teams to identify new content opportunities based on project outcomes.
- Manage permissions, approvals, and confidentiality requirements for public-facing content.
Resume Management (for RFP Purposes)
- Coordinate with staff to collect, review, and update resumes to reflect relevant experience, skills, and project history.
- Standardize formatting, terminology, and content across resumes to maintain brand consistency and compliance with RFP requirements.
- Maintain an accessible, up-to-date database of resumes for rapid proposal turnaround.
- Ensure version control and timely updates before major bid submissions.
Staff Biography Management
- Develop and maintain short-form staff biographies, including photos, role descriptions, and key project highlights.
- Regularly review and update biographies in collaboration with staff to ensure accuracy and relevance.
- Tailor biographies for specific RFPs and client needs.
- Ensure biographies align with company branding and professional presentation standards.
Skills & Qualifications
- Strong ability to work independently, outcomes driven and highly proficient skills in the attention to detail.
- Minimum of five (5) years of administration experience in administrative support, including coordination, documentation, and office management.
- Language: Bilingual (French, English)
- Strong organizational skills with the ability to manage multiple content streams and deadlines.
- Strong content creation and editing skills, with a keen eye for detail and strong abilities in wordsmithing.
- Ability to use Artificial Intelligence (AI) as a reference tool.
- Excellent interviewing and storytelling abilities, with the capacity to translate technical outcomes into compelling narratives.
- Proficiency in desktop application, content management tools, CRM systems (e.g., Salesforce, HubSpot), and document design platforms.
