Talent Acquisition Administrator/Coordinator – Hybrid: Hyderabad
As part of our India Talent Acquisition Team, you’ll play a key role in supporting our recruitment process and ensuring a seamless hiring experience for candidates and hiring managers.

Key Responsibilities
Recruitment Coordination:
- Schedule and coordinate interviews between candidates, hiring managers, and interview panels, ensuring timely communication and attention to detail.
- Assist in managing the end-to-end recruitment process, including offer letters, background checks, and onboarding documentation.
- Maintain accurate candidate data and documentation in the Applicant Tracking System (ATS).
- Oversee and manage the full interview scheduling process, including coordinating complex schedules across multiple time zones.
- Ensure all candidates are informed and prepared for interviews, providing necessary materials or details to enhance their experience.
- Act as a liaison between recruiters, hiring managers, and candidates to ensure timely communication and alignment.
Candidate Management
- Maintain and update candidate records in the Applicant Tracking System (ATS) with high accuracy.
- Handle sensitive candidate information with discretion and professionalism.
- Serve as the primary point of contact for candidates throughout the hiring process, ensuring they receive timely updates and excellent support.
Stakeholder Communication:
- Serve as a point of contact for candidates, ensuring they receive updates and support throughout the hiring process.
- Collaborate with recruiters, hiring managers, and HR teams to ensure alignment on timelines and candidate experience.
- Communicate interview schedules and logistics to all stakeholders effectively.
Reporting, Data Management and Analytics:
- Generate and maintain detailed recruitment reports, including metrics such as time-to-fill, candidate pipeline status, and hiring progress.
- Analyze recruitment data to identify trends and areas for improvement.
- Analyze recruitment data to identify process bottlenecks and provide actionable insights to the Talent Acquisition team.
- Provide weekly, monthly, and ad-hoc reports to the Talent Acquisition Lead and other stakeholders.
Process Optimization:
- Identify opportunities to streamline administrative and coordination processes for improved efficiency.
- Support the implementation of new tools or practices to enhance the candidate and recruiter experience.
Administrative Support:
- Handle recruitment-related correspondence, including interview invitations, rejection emails, and onboarding communication.
- Ensure compliance with company policies and local labor laws in all recruitment activities.
Process Improvement
- Identify inefficiencies in administrative and coordination tasks and propose solutions to improve workflows.
- Collaborate with the recruitment team to enhance the candidate and hiring manager experience.
- Support the implementation of new recruitment technologies or tools.
Compliance and Documentation
- Ensure compliance with local labor laws and company policies in all recruitment-related activities.
- Maintain accurate and up-to-date documentation, including offer letters, background check records, and onboarding paperwork.
- Perform regular audits of recruitment processes to ensure adherence to compliance standards.
Stakeholder Management
- Build strong relationships with hiring managers and department heads, ensuring their recruitment needs are met effectively.
- Partner with recruiters to ensure alignment on hiring goals and strategies.
- Act as a trusted advisor to stakeholders on scheduling, processes, and candidate communication.
Candidate Experience Enhancement
- Develop strategies to improve the overall candidate experience, ensuring a seamless and professional hiring journey.
- Address and resolve candidate concerns or feedback during the recruitment process.
- Assist in creating standardized email templates and communication guidelines for consistent candidate engagement.
Vendor and Tool Management
- Coordinate with external vendors, such as background check providers, to ensure smooth operations.
- Manage relationships with ATS or other recruitment tool providers to troubleshoot issues or drive enhancements.
Event Support
- Support recruitment events such as career fairs, open days, and virtual hiring events by managing logistics, communication, and post-event follow-ups.
Senior-Level Candidate Coordination
- Manage the recruitment process for senior-level or executive candidates, ensuring discretion and high-touch experience.
- Coordinate with leadership for senior candidate evaluations and debriefs.
Additional Responsibilities
- Stay updated on recruitment trends and best practices to continuously improve processes.
- Collaborate on special projects or initiatives assigned by the Talent Acquisition lead.
Skills and Qualifications
Required:
- Experience: Minimum 4-6 years in recruitment coordination, HR administration, or related roles.
- Education: Bachelor’s degree in HR, Business Administration, or a related field.
- Technical Skills: Proficiency in MS Office (Excel, Word, PowerPoint) and familiarity with Applicant Tracking Systems (ATS). SuccessFactors / Smart Recruiters ATS experience a plus.
- Strong MS Excel skills a must.

- Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, ensuring effective collaboration with stakeholders across all levels.
